Learner Engagement & Support Policy

Our support-first approach to managing learner engagement and addressing disengagement or disruptive behaviour through staged intervention, clear communication and appropriate escalation where necessary.

Scope

Applies to all learners engaged with FindyourinnerPeaceLtd programmes — face-to-face, online or blended — including individuals and those participating through organisational partnerships.

Support-first approach

We seek to understand before we respond — disengagement often has underlying causes.

Inclusive practice

Reasonable adjustments for neurodivergent learners and those with additional needs.

Proportionate response

Interventions are matched to the situation and escalate only when necessary.

Dignity and respect

Every interaction preserves the learner's dignity and confidentiality.

Transparency

Learners are informed of expectations, processes and outcomes at every stage.

Continuous improvement

We use feedback and outcomes to refine our approach.

Recognising disengagement

  • Non-participation: consistently not engaging with activities or materials.
  • Distraction: device misuse, side conversations or unrelated activity.
  • Disruptive behaviour: interrupting, dominating discussion or talking over facilitators.
  • Negative communication: dismissive or disrespectful comments.
  • Non-attendance: repeated absence without explanation.
  • Resistance to adjustments: refusing to engage with reasonable requests.

Staged intervention process

Stage 1 — Early observation & quiet check-in

Discreet observation, a private conversation, open non-judgemental language and immediate adjustments where appropriate.

Stage 2 — Supportive conversation & action plan

Explore underlying causes, agree a short-term action plan, offer resources or 1:1 support, review in 1–2 weeks.

Stage 3 — Formal review & written agreement

A formal meeting, written summary, agreed expectations and a 2–4 week review period.

Stage 4 — Final warning

Meeting with senior leadership, written final warning and a final opportunity to demonstrate engagement.

Stage 5 — Exclusion (last resort)

Only after all reasonable support is exhausted, or in cases of serious misconduct. Decision made by senior leadership with a right to appeal.

Reasonable adjustments

Disengagement may be linked to neurodivergence, disability, mental health or personal circumstances. At every stage we offer:

  • Extended timescales
  • Alternative formats
  • Advocate support
  • Additional breaks
  • Adapted delivery
  • One-to-one support

Appeals

Learners dissatisfied with any formal outcome (Stage 3 onwards) may appeal within 14 calendar days in writing to info@findyourinnerpeaceltd.co.uk. An independent senior reviewer, not previously involved, will re-examine the case and issue a final decision within 21 calendar days.
